The Loan Originator Assistant 3 (LOA 3) is a key front-line sales support branch employee with direct communication with clients and realtors. The LOA 3 is responsible for assisting with leads, loan files and providing administrative support functions to assigned originators or managers within the branch. The LOA 3 should project an outgoing personality and can self-motivate toward results. This position may also provide an opportunity to become a licensed loan originator or LOA providing greater opportunity & support to teams, which may include completing additional state licensing requirements.

Duties and Responsibilities

The primary job duties and responsibilities of this position include but are not limited to:

  • Facilitate the initial contact to leads for loan originators and teams and complete a discovery call.
  • All discovery calls, notes, interaction and lead lifecycle to be recorded and tracked in Hubspot (CRM system).
  • Discuss loan process, timing and general list of documents for loan approval to set the expectation for client during entire process.
  • Coordinate discussions between the loan originator, referral partners, and clients as a primary contact throughout the lifecycle of the loan process and arrange meetings to ensure any follow-up actions are completed.
  • Promote Envoy’s products to real estate agents, home buyers, leads, and referral sources while tracking and managing follow ups.
  • Assist with call backs to prospects and scheduling that require a phone consult prior to a face to face or virtual meeting.
  • Assist in managing a lead pipeline through Hubspot for teams.
  • Request and gather relevant information/documents from the borrower to complete the application as needed.
  • Follow up and respond to customer and in-house inquiries on transactions to offer superior customer service.
  • Enter loan applications into Loan Origination System (License Required) and assign originator or additional team member necessary tasks to keep loans moving through the process.
  • Review all loan data & documents received checking for inconsistencies & omissions, reporting any errors to the originator.
  • Monitor the process and communicate effectively with the borrower and all other parties to the transaction on the status of the loan.
  • Responsible for periodic status calls to all parties involved in transaction (clients, realtors, loan originators, etc.).
  • Send out correspondence – thank you cards, closing cost calculators, etc.
  • Become familiar with Envoy's process, policies, and procedures.
  • Maintain regular attendance and able to work in the office Monday-Friday during regular office hours, plus potential overtime, as necessary.
  • General clerical and phone support, as needed.
  • Additional duties may be assigned as business requires.

Under no circumstances will the Loan Originator Assistant engage in any of the following tasks:

  • Quoting rates
  • Offering or negotiating the terms of a mortgage loan
  • Taking a mortgage loan application (unless Licensed)
  • Any other activities that require a Loan Originator License

Qualifications

Listed below are the minimum qualifications required to successfully perform this role. These qualifications are necessary for someone to be considered for this position.

Qualifications include:

  • High school diploma or equivalent, Bachelor's degree is a plus
  • 1+ years of experience as a LOA/Loan Partner, Processor, Loan Officer, and/or Underwriter preferred
  • Knowledge of Microsoft Excel, Word, and Outlook
  • Working knowledge / Proficiency in Desktop Underwriter/Desktop Originator (DU/DO), Loan Prospector (LP), and originating systems, Encompass experience preferred
  • Ability to learn, or have past in-depth experience, in mortgage banking process, with a preference in residential mortgage banking
  • Ability to analyze issues and create effective resolutions, while managing multiple projects concurrently
  • Ability to process, organize and interpret large amounts of data, which reflects loan files
  • Excellent customer service skills and adept at working in a team environment
  • Must be a self-starter who is reliable, detail oriented with the ability to resolve issues
  • Exceptional follow-up, time management, interpersonal, and verbal and written communication skills
  • Willingness to learn, self- motivated, social media savvy and a forward thinker
Job Type: Non-Exempt
Compensation: $17-21/hour plus per file bonus, depending on experience

Schedule: Monday to Friday. This role is a hybrid position and requires working in office 3 full days a week.
