About the Role

We’re looking for a motivated and detail-oriented individual to join our team as a Transaction Services Associate. This in-office position is ideal for someone seeking to build a career in the real estate or title industry. You’ll play a vital support role across multiple departments, including post-closing, recording, and front-line operations, helping to ensure a seamless experience for our clients and internal teams.

Key Responsibilities:

Post-Closing & Recording Support

  • Assist with post-closing processes, including reading loan instructions and generating/printing FedEx, USPS, and Priority Mail labels for loan packages and trailing documents
  • Open, label, and sort incoming packages: clip recordable documents, make certified copies, and organize documents for next steps
  • Send trailing documents once they record, including uploading recorded documents to the appropriate portal and mailing them to the relevant parties
  • Generate USPS Priority Mail labels, stuff envelopes, and prepare documents for delivery
  • Send manual recordings to the county with return labels after trained recorder approval
  • Support holdback-related tasks and perform portal shelf audits as needed
  • Print invoices and match them with checks for mailing
  • Post underwriter bulletins

Front-Line & Administrative Duties

  • Answer and direct incoming phone calls, triaging to the appropriate teams (e.g., Escrow Officers, Post-Closing, etc.)
  • Order updated payoffs as needed
  • Triage and respond to emails
  • Perform general clerical work, including scanning, copying, organizing files, and maintaining a professional office environment
  • Provide backup coverage across departments and assist with overflow tasks

Qualifications:

  • High school diploma or equivalent
  • Strong attention to detail and organizational skills
  • Excellent communication and customer service abilities
  • Comfortable using standard office equipment (scanners, copiers, phone systems)
  • Eagerness to learn and grow within the role
  • Prior office experience is a plus, but not required
